Office Coordinator, Registrar’s Office
The Office Coordinator is a versatile self-starter and administrative professional who ensures the efficient and compliant operation of the Registrar’s Office's daily operations. They are responsible for general office duties and serve as the receptionist interacting effectively with various constituencies, such as students, faculty, and staff. They assist in maintaining and updating student records, registration, and grades, order supplies, and handle email correspondence, and successful initiate and complete multiple assignments and projects.
Key responsibilities:
Office
- Effectively and efficiently managing a high volume of emails, telephone calls, and in-person inquiries about academic programs, procedures, and requirements.
- Manage the delegation of the Registrar email account, and assist with the processing of request in Graded Exams, Verification, etc.
- Process departmental invoices for payment and track invoice payments
- Assist with diploma and award orders.
- Office supply ordering
- Manages SW Law’s Iron Mountain offsite student record storage account and document requests.
- Portal editing and publishing; and assisting with the maintenance of Registrar’s Office portal page.
- Interacts in a pleasant and efficient manner with faculty, students, and staff in person, on the phone, and via e-mail.
- Monitors, assigns and tracks responses to department email accounts, primarily Registrar and Graded Exams.
- Explain academic and administrative policies, appropriately forward requests for exceptions to supervisor.

- Monitor access to student records
- Other duties as assigned.
Student Records
- Respond to the records info and registration help inquiries.
- Process verification and transcript requests.
- Assist with Colleague enrollment and transcript notations for all Honors Programs, Clinics, and Practicums.
- Move electronic files into student folders
- As needed, assist with the periodic degree audits of graduating students.
- As needed, assist with the processing of registration packets. (?)
- As needed, enters grades into Colleague including academic awards.
- Assist in maintaining student record folders in accordance with the policies of the American Association of Collegiate Registrars and Admissions Officers (AACRAO) and the Family Educational Rights and Privacy Act (FERPA).
Exam Administration
- Assist with graded exam labeling and answering the Graded Exam mailbox
- Participate in midterm and final examinations (e.g., tester check in, proctoring exams, etc.).
Minimum Job Requirements:
- Ability to work effectively in a team and individually is required.
- Ability to provide excellent customer service.
- Bachelor’s degree with two years’ experience in student or administrative services. The successful candidate will also possess excellent interpersonal, service, and verbal/written communication skills, strong organizational and planning abilities, and proficiency in computer programs (MS Word, Excel, Outlook, and PowerPoint).
Salary: $24.04/hour
