Registrar

Southwestern Law School is seeking a Registrar. The Registrar provides overall leadership and management of all aspects of student registration and records and ensures the integrity and confidentiality of student and institutional records. The Registrar is the authorized custodian of all academic records and certifies students for degree and certificate conferral. The Registrar reports to the Dean of Students and serves as department head for the Registrar’s Office. As a department head, the Registrar supervises office staff and ensures that the team provides equitable and excellent service to the diverse community of students, staff, faculty, and alumni.

Primary Responsibilities

  • Oversees the Registrar’s Office, including hiring, supervising, motivating, and evaluating full-time and part-time employees. Supervising staff includes work allocation, training, enforcement of law school and departmental policies, procedures, and controls, and problem resolution.
  • Maintains all official academic records, ensuring compliance with FERPA and other state and federal guidelines, accreditation standards, and best professional practices as prescribed by AACRAO.
  • Compiles, records, verifies, and disseminates data related to student enrollment, curriculum, academic progress, grades, and bar pass rates. Serves as primary data steward for student academic record data.
  • Directs, plans, and oversees registration, final grading, class ranking, academic honors, and degree and concentration clearance processes.
  • Records approved transfer credit, including credit from other state- or ABA-approved law schools, dual-degree programs, and non-Southwestern study-abroad programs, ensuring that credit is transferred in accordance with law school policies, external regulations, and best professional practices.
  • Evaluates student progress toward completion of degree requirements; monitors student academic standing, probation, and dismissal.
  • Explains, implements, and enforces academic policies; consults with faculty and administration when new or revised policies are warranted.
  • In conjunction with the Dean of Students, advises students about graduation requirements, residency requirements, certificate requirements, and time-management requirements for graduation.
  • Coordinates exam administration, including proctoring.
  • Certifies completion of graduation requirements and eligibility to sit for the bar examination; prepares materials needed to certify graduates to sit for the bar examination.
  • Assists the Senior Associate Dean for Academic Administration with course schedules and classroom assignments; provides input into academic calendar preparation.
  • Oversees academic record retention, archiving, digitization, and disposition.
  • Develops, maps, records, monitors, evaluates, and revises processes for all major office tasks.
  • With Information Technology, manages the student information system and ensure its integrity; maintains security and confidentiality of student records. Ensures the continued development of the student record and registration system-consistent with the changing needs of students, faculty, and the law school community and new developments in technology.
  • Provides the financial aid office with enrollment information on students eligible for VA education benefits.
  • Serves as an ex officio member of faculty and other committees as appointed.
  • Maintains the office’s webpage.
  • Prepares and distributes reports for internal use.
  • Serves as a primary resource and trainer on FERPA, consulting General Counsel as needed.
  • Provide data for various external reports, such as IPEDS, ABA reports, U.S. News surveys, and National Student Clearinghouse.
  • Collaborates with other offices (including admissions, accounting, financial aid, and student affairs) in establishing and applying data standards, integrating information within and across systems, and auditing data quality and integrity.
  • Determines staff and operational budget needs for the office and submits recommendations to the Dean of Students for evaluation.  
  • Manages the office’s non-personnel budget and provides fiscal direction for the department.
  • Stays current with accreditation standards and actively helps to ensure the law school’s compliance with those standards.
  • Maintains a strong working knowledge of Title IV policies and other relevant federal regulations and actively helps to ensure the law school’s compliance with those policies and regulations.
  • Represents the law school as a member of professional organizations and contributes to professional advancement in the field.
  • Completes other duties as assigned.

Minimum Job Requirements

  • Bachelor's degree; at least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year-for-year basis.
